Multiple Entries

Multiple Entries lets an authorized staff member validate the same lesson for several enrolled students in one operation. It is especially useful after a group ground class, briefing, examination, or another session where everyone completed the same lesson together.

Important: A multiple-entry save is a real course validation for every eligible selected student. Review the course, lesson, date, students, scores, durations, files, and result before confirming. Afterward, any correction must be made on each student’s record individually.

1. Access and page layout

Open Courses Center, then choose Multiple Entries. The chapter or page appears only when your profile has the required permission. The courses shown are active, published, and configured to allow multiple entries.

The page is organized from left to right:

  1. Courses — choose the course being updated.
  2. Lessons — choose the completed lesson.
  3. Enrolled students — select one or more participants.
  4. Selected students and lesson form — enter the shared completion information and any student-specific grades or files.

Depending on your organization’s configuration and your permissions, you may also see Scanned files, Dashboard, Task, and tools for loading participants from the live Scheduler or Flight Record.

2. Standard workflow

Use the following order whenever possible:

  1. Select the course.
  2. Select the lesson.
  3. Select the students.
  4. Complete every required field in the lesson form.
  5. Review warnings and excluded students.
  6. Select Save, then confirm the final message.

Choosing the course refreshes both the lesson and enrolment lists. Choosing a lesson loads the fields that apply to that lesson. The form can therefore look different from one lesson to another.

Find a lesson

Use the lesson filter to narrow the list. Open More options (…) to choose among the available filters:

Option What it does When to use it
Show all Displays every available lesson in the selected course. When you know the lesson name or need the full sequence.
Mandatory Limits the list to mandatory lessons. When recording required curriculum items.
Activity type Limits the list to a configured lesson category. When a course contains many ground, flight, simulator, or other activity types.

Lessons are grouped by phase. A mandatory lesson is visually emphasized.

Find and select students

Use Filter Group to display a particular group and Filter Member to search by member name. Use Show portrait when photos make participant identification easier.

  • Click a student to select that student alone.
  • Hold Ctrl while clicking to select or remove several individual students.
  • Use Select all on a group heading to select the visible members of that group.

The selected count and selected-student area update as you work.

Important: Match the selected names to the actual attendance list before saving. A student who was not present must not receive the lesson simply because the person belongs to the group.

3. Complete the lesson form

The exact fields come from the lesson design. Only fields relevant to the selected lesson are displayed.

Date

The completion date is mandatory. Confirm that it represents the date on which the training actually occurred.

Instructor or pilot in command

Some activities require a main instructor or pilot in command. Search for and select the correct person. If your access is restricted, the system may set this person automatically and prevent a change.

When a co-pilot or second participant is required, complete that selection as well.

Activity and resource

Review the activity type shown for the lesson. When a resource is required, select the aircraft, simulator, classroom, or other configured resource used for the session.

Duration

Enter the applicable flight, simulator, ground, or other duration values. A required duration cannot be left blank. If the course requires at least one mandatory duration, the save is blocked until a valid duration is entered.

Use the actual duration credited to the selected students. Do not enter a planned duration if the completed duration was different.

Scores and pass/fail result

When scoring is required, a score field is displayed for each selected student. Complete every mandatory score and respect the displayed maximum.

  • Changing a maximum score can offer to update the maximum for the other students.
  • If the lesson has a pass threshold, the system can determine the result from the percentage.
  • If no automatic threshold applies, the form can provide a force FAILED lesson control.
  • Saving a result marked as not passed opens an additional confirmation. Review the affected student before continuing.


Exercise items and comments

If the lesson contains exercise items, complete the grades or assessments required by the lesson. Some lessons require every item to be graded before the record can be saved. Add comments where they are required or useful for the student’s training record.

Mandatory files

When the lesson requires supporting files, each selected student receives a separate upload area. Select the tile for that student and attach the correct file. The save is blocked until every required file is present for every eligible selected student.

Important: Verify the name above each file tile. A document attached to the wrong student becomes part of the wrong training record.

Activity-sheet entry

Some courses or lessons ask to add effective duration to an activity sheet. Complete the total and any available additional activity-duration fields. The chosen main instructor or pilot in command may be required before these values can be added.

The activity-sheet value remains subject to the organization’s normal verification and acceptance process. If your profile does not allow the operation, the controls may be disabled.

4. Eligibility and blocking warnings

Before saving, the system checks each selected student against the lesson rules. Typical checks include prerequisites, required qualifications or roles, previous results, repeat limits, course status, and configured duration requirements.

If only some students fail a check, the system identifies them and skips them while allowing the eligible students to continue. Read the message carefully: the number selected may be greater than the number actually credited.

Common reasons the save is blocked are:

  • no student is selected;
  • the completion date is missing;
  • a required instructor or pilot in command is missing;
  • a required resource or duration is missing;
  • a mandatory score is missing or exceeds its maximum;
  • required exercise items are incomplete;
  • a required file is missing for one or more students;
  • a prerequisite, qualification, repeat, or course rule is not satisfied.

Correct the displayed issue and try again. Do not work around a warning by entering invented information.

5. Save and confirm

Select Save only after completing the review. A final confirmation warns that the operation cannot be reversed as one batch. Choose No to return to the form or Yes to record the lesson for all eligible selected students.

After a successful save, the page confirms the result and clears the selection.


Final review checklist

  • Correct course and lesson
  • Correct completion date
  • Only actual participants selected
  • Correct instructor, co-pilot, and resource
  • All required durations completed
  • Every score and item reviewed
  • Pass/fail result reviewed per student
  • Every mandatory file attached to the correct student
  • Eligibility warnings understood

6. Load participants from Scheduler or Flight Record

When enabled, From live Scheduler and From Flight Record let you begin with an existing operational entry instead of building the group manually.

  1. Choose the date.
  2. Use Filter ID or Filter to narrow the displayed entries.
  3. Select the relevant scheduled or Flight Record entry.
  4. Confirm the loaded course, lesson, and participant list.
  5. Add or remove students if your permissions and the context allow it.
  6. Complete and save the lesson normally.

Entries are grouped by date. The Live Scheduler and FL control shows or hides these source panels.


Important: Loading an operational entry is a shortcut, not a substitute for review. Confirm the participant list and lesson before saving.

7. Student More options menu

Open More options (…) above the student list for communication and context actions available to your profile. Options can include:

  • add a member to the current group when the session originated from Scheduler or Flight Record;
  • send email through the system;
  • open your external email application;
  • send an internal message;
  • send an internal blind-copy message;
  • send an SMS.

Availability depends on your permissions and the organization’s enabled services.

8. Record an absence or late arrival

Authorized users can open the attendance action beside a student. Complete:

Field Use
Date Date of the missed or delayed session.
Student Confirm the person concerned.
Lesson Confirm the related lesson.
Type Choose the configured attendance event, such as absence or late arrival.
Reason Select the appropriate reason when available.
Comment Add useful context without unnecessary personal information.
Send message to student Notify the student when appropriate.

Select Save, then confirm the message.

9. View and undo recent batch actions

At the bottom of the Entries tab, select View last actions beside Undo!. The history lists the creation time, staff member, course, lesson, instructor or pilot in command, completion date, and number of students.

Use the search tools to locate the batch, then choose its Undo action.

Important: Undo is unavailable when credited duration has already been accepted on an activity sheet. In that situation, the activity must first be unvalidated through the appropriate workflow. If a batch cannot be undone, correct the affected student records individually with authorized assistance.

10. Scanned files, Dashboard, and Task

Scanned files

When enabled, the Scanned files tab displays the related document workspace. Use its reload control to refresh the list after new scans arrive.

Dashboard

The Dashboard tab is visible only for certain profiles and configurations. Its contents depend on the tools enabled by your organization.

Task

Use the Task tab for tasks associated with this work area. Follow the normal task workflow used elsewhere in AirSupervision.

11. Practical examples

Group ground school

Select the ground-school course and lesson, use the group filter, choose Select all, then remove anyone who was absent. Enter the class date and shared duration. Complete any individual scores, attach required student files, review the count, and save.

Written assessment with different scores

Select the assessment lesson and all participants. Enter the same date and instructor, then enter each student’s score separately. Check the automatically determined result, resolve any missing score warning, and confirm.

Session loaded from Scheduler

Choose the date in From live Scheduler, select the session, and review the populated students. Remove no-shows, add an authorized late participant if needed, complete the lesson fields, and save.

12. Troubleshooting

Situation What to check
A course is not listed It must be active, published, and configured to allow multiple entries.
A lesson is not listed Clear the lesson filter, choose Show all, and confirm the phase and lesson are active.
A student is not listed Clear member/group filters and confirm the student is enrolled in the selected course.
Save remains unavailable or fails Look for a missing date, instructor, resource, duration, score, item, file, or selected student.
A student is skipped Read the eligibility warning and verify prerequisites, qualifications, repeat limits, or course status.
Undo is blocked Check whether related activity-sheet duration has already been accepted.
A tab or menu item is missing The feature may be disabled or your profile may not have the required permission.

Safe-use rule: If the page result does not match the actual training event, stop before confirming and ask an authorized course administrator to review the setup.
