2.1 What this page is for
Course responsible Center is a visual assignment board. Each column represents a responsible member; each card represents one open student course assigned to that person. Authorized users can move cards between responsible members or add an unassigned course.
Users with restricted access see Restricted options beside the title. They can review the assignment board but do not receive every reassignment, Resources Stats, Task, or unassign action.
2.2 Understand the Center filters
The first row begins with Show and controls what appears on the main board:
| Filter | Purpose |
|---|---|
| Responsibles | Choose responsible members by favorites, organization groups, or roles. |
| Students | Keep assigned course cards whose students match selected favorites, groups, or roles. |
| Courses | Keep selected active course types. |
The second row begins with Select. Its Students and Courses filters apply to the Unassigned courses window, not the already assigned cards on the main board.
Close a selector after changing it to refresh the related board or dialog. Select the recycle icon to reload the responsible list and current assignments.
2.3 Read a responsible column
The column heading shows the responsible member’s photo, name, total open courses, and number of courses assigned to students who belong to a group.
Course cards are grouped by the student’s organization group. Students without a group appear under Others…. Select the arrow beside a group to expand or collapse its cards.
Useful details:
- Hover the responsible member to review their profile summary.
- Hover a course card to review student contact information, course, enrollment date, latest entry, course note, recent lessons, and recent dual lessons where available.
- Double-click a group-count badge to open that group’s member list.
- Double-click the student name to open the member profile.
- Double-click the course/progress area to open the Training Record.
- A note marker on the student’s name means the course has a course note.
- A grey or unavailable responsible heading identifies a person who cannot accept assignment drops, for example because the account is inactive or is not currently configured as an instructor/course responsible.
2.4 Collapse, expand, resize, and undock
Use the lower toolbar to control a large board:
| Control | Purpose |
|---|---|
| Toggle all column | Switch all responsible columns between compact and expanded heading width. |
| Toggle all group | Collapse or expand all course-group lists. |
| Reduce or expand columns | Quickly change all responsible column widths. |
| Yellow pin / Undock | Open one responsible member’s column in a separate movable Member view. |
You can also double-click one responsible heading to change only that column’s width.
The undocked Member view can collapse or expand its groups, print that responsible’s list, be minimized, or be closed. Changes to assignments are reflected when the lists reload.
2.5 Order responsible members
Use Order responsibles by on the lower right.
| Order | Meaning |
|---|---|
| name: A–Z / Z–A | Alphabetical order. |
| Total courses: 0–9 / 9–0 | Fewest or most total assigned open courses first. |
| Total courses in group: 0–9 / 9–0 | Fewest or most assignments to grouped students first. |
| Total activities in last 30 days: 9–0 | Most recent 30-day activity first. |
| Total activities in last 90 days: 9–0 | Most recent 90-day activity first. |
| First flight training activity: 0–9 / 9–0 | Earlier or later first qualifying activity first. |
Sorting changes the display order; it does not change course responsibility.
2.6 Assign an unassigned course
The plus icon opens Unassigned courses.
- Before or after opening the window, use the second-row Select Students and Select Courses filters.
- Expand the relevant group in the Unassigned courses window.
- Verify the student and course by hovering the card.
- Drag the card onto the intended responsible member’s column.
- Review the Assign responsible confirmation.
- Choose Yes and alert to assign and send a message, Yes to assign without the alert, or No to cancel.
If the target says the member has not been set as a course responsible or is inactive, review that member’s profile configuration. Do not work around the warning by assigning the course elsewhere temporarily.
Pressing Esc during a drag cancels the pending drop.
2.7 Transfer a course to another responsible
- Find the course card in the current responsible member’s column.
- Hover it to confirm the student and course.
- Drag it to the new responsible member’s column.
- Review both the previous and new responsible names in the confirmation.
- Choose whether to alert the previous and new responsible members.
The board reloads the affected columns after a successful transfer. If it does not appear where expected, refresh and confirm that the Show filters include the student and course.
2.8 Use the course right-click menu
Right-click a course card for these actions, subject to permission:
| Action | Result |
|---|---|
| View member profile | Opens the student’s profile. |
| Course notes | Opens the note saved on this course assignment. |
| View responsible profile | Opens the profile of the responsible member whose column contains the card. |
| Course details | Opens the student’s Training Record for this course. |
| Set course as unassigned | Removes the responsible assignment after confirmation; available only with full permission. |
Add or update a course note
Open Course notes, enter or revise the text, then choose Save Note, and close. The note marker and tooltip update on the card. Use Close to leave without saving.
Set a course as unassigned
Choose Set course as unassigned, review the member and course, then choose whether to alert the previous responsible. The course returns to the Unassigned courses list and remains an open student course.
2.9 Print lists
There are three useful print paths:
- Select the main printer icon to print the currently filtered assigned-course board in its current responsible order.
- Select Print in the Unassigned courses window to print the filtered unassigned list.
- Select Print in an undocked Member view to print one responsible member’s assignments.
Review the generated PDF in its new tab. If the content is unexpectedly missing, check both the Show filters and the main responsible order before printing again.
2.10 Resources Stats tab and chart meanings
Resources Stats is available to users with the full supervisory permission. It has two sections: Actually and a date-ranged historical section.
Actually: current availability
Each resource-type box displays the percentage currently available according to the latest resource-status information. A configured low-availability result is highlighted in red. Hover for the resource name and description; select the box to open maintenance statistics.
This is a current operational snapshot. It is not controlled by the historical date range below it.
Historical date range
The default range begins January 1 of the current year and ends today. Presets include recent full months, individual years, since-year ranges, and all time. Future dates are not available.
The historical charts have the same meanings as Responsible analytics Resources:
- Number of resources counts distinct resources used during the chosen period by category.
- Students per Instructor Allocations shows student-to-instructor ratio, hours per instructor, instructor count, and student count for configured activities.
- Instructor activities performance groups instructors by recorded activity volume relative to the displayed benchmark.
Use the legend to show hidden series, print controls to produce individual chart reports, and the cautions in section 1.9 when interpreting workload. These charts do not, by themselves, measure instructor quality.
2.11 Task tab
Task is available with full supervisory permission and contains Course responsible Center follow-up tasks. It does not automatically filter to the responsible member or course currently visible on the board.
Use it for work such as assigning an unassigned course, reviewing an overloaded responsible member, following up a course note, or correcting a responsibility assignment. Task status, priority, dates, in-charge users, history, closing, and recurrence work as described in section 1.14.
2.12 Recommended assignment workflow
- Select the required responsible population in Show Responsibles.
- Apply Student and Course Show filters only when they help you isolate the assignment.
- Choose a clear order, such as Total courses: 9–0, to see workload context.
- Hover the source course card and target responsible member.
- Review current total courses, courses in group, recent activity, and relevant qualifications.
- Drag the course and verify every name in the confirmation.
- Use Yes and alert when the affected people should be notified.
- Refresh and confirm that the card appears in the correct column.
- Add a course note or task when the reason or follow-up must remain visible.
Chapter 3: Common questions and troubleshooting
| Situation | What to check |
|---|---|
| No members appear in Responsible analytics | Reset filters, clear Filter Members, clear the course selector, include active/inactive members as needed, then Refresh. |
| Select all did not include everyone | It selects only visible members. Clear or change filters before selecting all. |
| A tab still shows another member | Event Reports, Courses, and Performances use their own Member selectors. |
| A chart did not change with selected members | Resources and recommendation Charts 5–6 are organization-wide. |
| Recommendation yearly charts ignore the date picker | They intentionally cover the current year plus five previous years. |
| No shows displays an access message | The scheduling comparison requires additional scheduling/supervisory access. |
| Resources is empty or unavailable | It requires resource, quality, or course-responsibility access configured by the organization. |
| Cannot open own Private Notes | A user cannot access the private-note thread attached to their own profile. |
| Cannot delete a private note | You must be its author, and it must have no replies. |
| Event report list is empty | The tab shows only regular/regulatory reports concerning that member, not hazard, squawk, or QA reports. |
| Courses tab is empty | Confirm the Member selector. It shows only open courses currently assigned to that responsible member. |
| Drag and drop is missing in Courses | Assignment permission is required. |
| Course responsible Center shows Restricted options | Your access allows the board but not all assignment, Resources Stats, Task, or unassign actions. |
| A responsible column rejects a drop | The target can be inactive or not configured to receive responsible assignments. Review their profile. |
| An assigned course seems missing | Check Show Students, Show Courses, group collapse state, and responsible filters; then Refresh. |
| An unassigned course seems missing | Check the second-row Select Students and Select Courses filters in the Unassigned courses window. |
| A task disappeared | Change the Closed filter from Open to All or Closed. |
| Restored page settings are confusing | Reset filters and confirm each tab’s saved member/date controls before continuing. |
Chapter 4: Quick safety checklist
Before making or communicating a supervisory decision:
- Confirm whether the information is selected-member or organization-wide.
- Confirm the member, course, and date range.
- Compare counts with activity volume and time period.
- Treat ranking and relative-performance charts as investigation aids, not standalone quality judgments.
- Review notes, reports, course progress, and recommendation attempts where relevant.
- Before changing responsibility, verify both the current and new responsible member.
- Decide deliberately whether an alert should be sent.
- Refresh and confirm the saved result.
- Record necessary follow-up in a note or task.
