Course Design Center

Course Design Center is the workspace used to build and maintain the training structure that users later see in their courses. A course contains phases, and each phase contains lessons. Course-level rules, phase availability, lesson requirements, exercise items, competencies, documents, and certificates determine what can be recorded and what a trainee sees later.

Important: Changes can affect active enrolments, lesson validation, progress, prerequisites, documents, qualifications, Scheduler, and Flight Record. Review the full course and run the Course integrity check before publishing or after any structural change.

1. Course structure and access

Open Courses Center, then choose Course Design Center. The page is available only to profiles allowed to create and manage courses. Additional tools such as CBTA or Dynamic docs appear only when your profile and organization configuration allow them.

The main workspace contains:

  • Courses on the left;
  • Phases for the selected course;
  • Lessons for the selected phase;
  • context tabs for Course details, Options, Certificates, Phase details, and Design a lesson;
  • Task and Help tabs;
  • management tools such as CBTA, OBs, Dynamic docs, and Exercise Items when enabled.

2. Create and select a course

Enter a course title in the new-course field and choose the add action. Select the new course in the Courses list to open its details and build its phases.

Use the course search and list controls to find an existing course. Inactive courses can be displayed when you need to review or restore one.


Recommended: Build and review a course in an unpublished state. Publish it only when its phases, lessons, requirements, permissions, and documents are ready.

Course details

The Course details tab contains:

Field or area Purpose Recommended use
Title Name displayed in course-management areas. Use a clear, unique operational name.
Print Title Name used on printed output. Use the formal title required on reports or syllabi.
Created date and creator Identifies when and by whom the course was created. Use for context; these values are informational.
Status Shows Active or Inactive. Restore an inactive course only after confirming it should return to use.
Description Explains what the course covers. Write a short learner-facing overview.
Standard Defines the expected standard. State the completion or performance standard clearly.
Objective Defines the intended outcome. Describe what a successful learner should achieve.
References Lists supporting references. Add manuals, regulations, or internal references users need.
Notes Stores additional course guidance. Keep notes relevant to authorized course users.
Additional fields Adds organization-specific information. Use only for fields that have a defined operational purpose.
History Shows recorded changes for authorized users. Use when investigating who changed a course and when.
Statistics Summarizes use of the course. Review before major edits or deactivation.

Select Update to save course-detail changes.



3. Complete Course options reference

Open the Options tab for the selected course. Select Update after reviewing changes.

Publication and administration

Option What it changes When to use it
The course is published Allows authorized users to attach the course to members. Enable only after the design is ready for operational use.
Members that can modify this course Restricts course management to the listed qualified course designers. An empty list allows all otherwise-authorized designers. Use for controlled ownership. Keep at least one reliable administrator able to recover access.
Member to alert Sends an alert when a planned date is overdue. Add the person or team responsible for monitoring training plans.
Maximum Course duration Sets the course duration in months; 0 means unlimited. Use when the program must be completed within a defined period.
The course is modifiable Allows content changes even when students are enrolled. Enable only when controlled live-course editing is necessary.

Important: If the course is not modifiable and at least one member is enrolled, editing can become locked. Deleting or changing phases and lessons in a live course can affect existing records. Do not enable modifiable merely to bypass a design-control process.

Rankings

Option What it changes When to use it
Student Ranking Includes open enrolments in a same-course, same-group ranking based on completed lessons. The member, course-authorized users, and responsible person can see it. Use only when ranking is part of the approved training process.
Responsible ranking Includes the course in responsible-person ranking calculations based on group size and student results. Use for authorized performance review, not as a stand-alone quality judgement.
Members that can see responsible rankings Restricts viewing to listed users; an empty list allows all Course Center users, while each responsible person can still see their own ranking. Use to limit sensitive comparisons.

Access and correction permissions

Option What it changes When to use it
Automatically set selected member’s credentials when course is attached Raises the attached member to the selected credential level without lowering an already higher level. Use when enrolment must grant a defined minimum working level.
Minimum level to attach this course Requires the attaching user to meet the selected level; General setting uses the organization’s default. Use for controlled or advanced programs.
Roles that can access this course Allows selected roles to view the course and, subject to their permissions, add, edit, or sign an entry. The concerned member can always view their own course. Use when course visibility and registration should be role-based.
Members that can directly correct lessons Allows listed, properly credentialed users to perform lesson corrections and receive correction requests. Use for designated training administrators or check personnel.
Members that can modify lesson scores Allows listed, properly credentialed users to change scores. Limit to personnel authorized to change assessments.
Members that can hide or display phases Allows listed members to switch optional phases for end users. Use for courses containing alternative or later-activated training paths.

Files and optional analysis

Option What it changes When to use it
Attached private files Stores references visible only while creating or modifying the course. Use for designer notes, source material, or internal references.
Attached public files Makes references available to members previewing the course. Use for approved learner-facing material.
AI analysis When configured, enables scheduled AI progress analysis for enrolled members and uses maximum course duration as context. Enable only under the organization’s approved AI process.

Important: Review every file before upload. Public files are available to course users; private files remain design references. AI analysis, when available, can be wrong and must not replace human review.

General lesson rules inherited from the course

Option User impact Recommended use
Include electronic signatures Records signatures with lesson validation; saved signatures cannot be freely changed and require the correction process. Use when formal acknowledgement or certification is required.
Cancel if previous lesson’s signatures are missing Blocks the current save when an earlier lesson lacks required signatures. Use for strictly sequential signed training.
At least one mandatory duration is required Blocks validation unless a required duration is entered. Use when time credit is essential to every applicable lesson.
At least one mandatory grade is required Blocks validation unless a required grade is entered. Use for courses where graded evidence is mandatory.
At least one mandatory resource is required Blocks validation unless a required resource is chosen. Use when aircraft, simulator, classroom, or equipment traceability is required.
Allow multiple entries Makes the course available in Multiple Entries. Use for group classes or shared sessions.
Force multiple entries Makes Multiple Entries the only validation method. Use only when individual validation must be prevented for this course.
Weather report Forces weather retrieval for non-ground sessions even when the general option is off. Use when each flight-session record must include weather context.
Maximum graded lesson items Highlights the maximum graded item in pink after completion. Use when reviewers need to identify the highest assessed item quickly.
Ask to add effective duration on activity sheet Offers to add the lesson’s effective duration to the main instructor or pilot-in-command activity sheet. Use when course completion should also feed the staff activity workflow.
Maximum days between done date and creation date Limits how long the pilot in command can add effective duration; 0 disables the time check. Set according to the organization’s activity-reporting deadline.

4. Build and manage phases

A phase organizes a meaningful stage of training. Select a course, add a phase title, and choose the add action. Select the phase to open Phase details and its lesson list.

You can reorder phases. You can also deactivate or restore them according to course status and use. A phase already referenced by training data may be made inactive rather than removed.


Complete Phase details reference

Field or option Purpose User impact
Published/available Makes the phase available to enrolled members. Hidden phases do not appear as available training to end users.
Title Names the phase. Appears in the course sequence.
Created date, creator, last modified Identifies origin and latest recorded update. Helps administrators understand change history.
Standard Defines the phase standard. Provides stage-level performance guidance.
Objective Defines the phase outcome. Explains what the phase is intended to achieve.
References Lists phase-specific references. Directs users to the relevant source material.
Notes Stores additional phase guidance. Use for operationally useful notes.
Lock Responsible if a Flight Record planned date is overdue Prevents the responsible person from the configured Flight Record activity when a planned date is overdue. Use when overdue planning must stop further operational activity.
Lock Student if a Flight Record planned date is overdue Applies the same control to the student. Use only when overdue planning is a formal blocking condition.
Statistics Summarizes phase use. Review before significant changes or deactivation.

Select Update to save phase changes.

Important: A hidden phase can remove a training path from the learner’s view. Confirm whether the phase is optional, temporarily unavailable, or permanently retired before changing its availability.

5. Add, arrange, copy, move, deactivate, and restore lessons

Select a phase, enter the lesson title, and choose the add action. The lesson appears in the phase’s lesson list. Select it to open Design a lesson.

Use the lesson search to find an item in long phases. Available list actions let you reorder lessons, copy a lesson, move it to another phase, deactivate it, or restore an inactive lesson. A lesson required by another lesson can be protected from deletion. A lesson already used in records is normally retained as inactive rather than erased.



6. Complete Lesson settings reference

The lesson form is divided into collapsible sections. Select Save after reviewing all relevant sections.

Title and Details

Characteristics and validation controls

Setting What it does When to use it
Activity Defines the lesson activity type; some types require an instructor. Choose the type that matches how the lesson is actually performed.
Resources required Lists the permitted or required aircraft, simulator, room, or other resources. Add every valid resource and remove unsuitable ones.
Recommendation from member instructor required Requires a recommendation from the selected source before this lesson. Use for formal instructor release or recommendation steps.
Co-pilot is required Requires a second crew member or student selection. Use only for activities designed for two required participants.
Required to be stated as PASSED to continue Makes a pass result necessary before course progression. Use for gates, checks, and required assessments.
All ITEMS have to be graded Requires every linked exercise item to receive a grade. Use when partial item assessment is not acceptable.
Required to be SCORED to save Requires a numerical score. Use for scored examinations or checks.
Failure threshold Sets the percentage at or below which the lesson is assessed as failed; -1 means no automatic check. Match the approved assessment standard.
Cannot be repeated after a pass Prevents another attempt after the latest result is passed. Use when only one successful completion should exist.
Number of allowed repeats Limits attempts; 0 means no limit. Use when the program defines a maximum number of attempts.
Locked if repeat limit exceeded Blocks further use after the allowed number is exceeded. Use when exceeding the repeat limit requires review or intervention.
Days since previous flight on same aircraft type Blocks Flight Record ramp-out when recency is exceeded; 0 disables the check. Use for aircraft-type recency rules.
Minimum day/night duration in one recent activity Refines the previous-flight recency check. Use when recency requires a minimum qualifying duration.
Required duration from Flight Record only Accepts required duration only from Flight Record. Use when manually entered time must not satisfy the lesson.
Notify absence / create attendance report Notifies the student of absence and creates the configured attendance report. Use for scheduled sessions requiring attendance follow-up.
Lock in Flight Record if another lesson is passed or credited Makes this lesson unavailable after the selected later or alternative lesson is completed. Use for mutually exclusive or superseded training paths.

Duration objective

Enter the objective values for the relevant flight, simulator, instrument, cross-country, take-off/landing, and ground categories. Leave unrelated categories empty. These objectives are used in course progress and time comparisons.

Notifications and qualification renewal

You can select members to notify when the lesson is passed, failed, or exceeds the repeat limit. The lesson can also renew up to three configured competencies, with a chosen expiry rule.


Important: A competency renewal changes the member’s qualification record when the lesson is passed. Confirm the competency and expiry method with the approved program before publishing.

Members who can register the lesson

The optional member list lets selected course users register the lesson for another pilot in command and certify it with a mandated signature. Leave it empty to retain the normal registration permissions. This option does not grant correction rights.

Prerequisite lessons and exercises

Select prerequisite lessons from the current or another course and move them into the active prerequisite list. Add prerequisite exercise items with the required result where applicable.


Important: Prerequisites control who can complete later lessons. Avoid circular or impossible chains. Run the Course integrity check after editing them.

Qualification, role, and memorandum requirements

Requirements can be configured separately for PIC-Instructor and Co pilot-Student:

  • Qualifications (AND): every listed qualification must be satisfied.
  • Roles (OR): at least one listed role is sufficient.
  • NOT: reverses the listed qualification or role condition.
  • Memorandums — Have to be read: requires the applicable memorandums to be acknowledged.

Flight Record presentation and required files

Setting Purpose
Force Flight record activity type Sets Training, Solo, Renting, Internal, Ground, Other, or None for the record.
Force scheduler color Uses the selected color for this lesson in Scheduler.
Files required for PIN authorization and ramp-out Names documents that must be present before the operational authorization step.
Files required before saving the record Names documents that must be uploaded with completion; visible to the trainee, trainer, course responsible person, and authorized high-level users.

Duration experience requirement and accounting

Use Duration experience requirement to set minimum accumulated times in the same open course before the lesson unlocks. Advanced authorized designers can add formula lines that combine permitted duration categories.

Use Add duration on activity sheet as to choose which activity type receives the credited duration, or choose None.


Important: Duration formulas can block a lesson for every learner if they are invalid or impossible. Use the integrity check and test the course with an approved scenario before publication.

7. Exercise Items

Exercise Items are reusable assessment elements organized in groups. Open Exercise Items to search, add, edit, deactivate, restore, and print the item library.

Add items to a lesson

In Design a lesson, expand Items:

  1. Choose an item group.
  2. Add an existing item or create the required item if authorized.
  3. Arrange the lesson items in the desired order.
  4. Configure the displayed grading or assessment behavior.
  5. Link an Observable Behaviour where applicable.
  6. Save the lesson.

Deactivating a library item protects historical use while removing it from normal new selection. Restore it only when it should be used again.

8. Observable Behaviours (OBs)

Observable Behaviours describe specific actions or behaviours that can be observed during training. Open OBs to manage groups and behaviours, search the library, deactivate or restore entries, and print the list.

Use short, observable wording. Link an OB to the lesson exercise item where the behaviour is actually assessed. Avoid vague qualities that a trainer cannot consistently observe.

9. CBTA

CBTA tools organize training frameworks and competencies and link them to lessons. Open CBTA when the feature and your permission are enabled.

The hierarchy contains:

  1. a CBTA training framework;
  2. competencies inside the framework;
  3. course lessons linked to each competency.

Use the grid and child rows to add, edit, remove, search, and print the framework. A CBTA marker beside a lesson indicates that it is linked.



Important: Removing a competency or lesson link can change how training evidence is interpreted. Confirm the approved competency framework before changing existing links.

10. Dynamic Documents

Dynamic docs manages reusable document templates. In a lesson’s Dynamic documents section, move the desired templates into the selected list. The resulting documents become downloadable when the lesson is completed as PASSED.


Test every template with an approved non-production scenario. Confirm the title, wording, dynamic values, signatures, and output layout before attaching it to a live lesson.

11. Course Certificates

The Certificates tab creates course-level certificates with their own eligibility rules. This differs from a lesson’s Dynamic documents.

For each certificate, configure:

Setting Purpose
Name Identifies the certificate.
Active Makes it available when its rules are met.
Minimum member level Limits who can receive or access it according to the configured level.
Prerequisite lessons Requires selected lessons, including lessons chosen from another course when appropriate.
Duration experience requirement Requires minimum accumulated times in the same course.
Certificate text Defines the issued document and can use the supported dynamic values.

Use Add to create a certificate, select it in the left list, complete the settings, and choose Update. Use delete only after confirming the certificate is no longer needed.


Important: Certificate rules should be at least as strict as the approved issuance standard. Test prerequisite and duration conditions before activating the certificate.

12. Duplicate and print a course

Duplicate

Use the duplicate-course action to create a new course from selected phases. Every lesson in each selected phase is copied. Review the duplicate before publishing: ownership, permissions, dates, documents, prerequisites, notifications, and operational rules may need to change.

The print dialog lets you select phases and choose the detail level:

  • Times summary only;
  • Title only;
  • Description only;
  • Full.

Use Select all when the entire course should be included. A separate print-sequence action produces the structural sequence view.


13. Course integrity check

Open Course integrity check for the selected course. The check reviews areas such as structure, prerequisites, duration experience requirements and formulas, exercises, members, Dynamic Documents, and competency links.

  1. Start the check.
  2. Wait for the progress indicator to complete.
  3. Review the summary.
  4. Filter findings by Normal, Warning, or Important.
  5. Use Search issues to locate a lesson or topic.
  6. Copy or export the findings when an authorized review record is needed.
  7. Correct the course and run the check again.


Important: The integrity check diagnoses potential issues; it does not repair the course automatically. A normal result does not replace operational testing or program approval.

14. Publication and test workflow

Use this sequence for a new or substantially changed course:

  1. Create the course while unpublished.
  2. Complete Course details and Options.
  3. Add phases and lessons in the intended sequence.
  4. Configure lesson content, validation, prerequisites, requirements, and duration objectives.
  5. Link Exercise Items, OBs, CBTA competencies, and Dynamic Documents as applicable.
  6. Configure course Certificates.
  7. Print or review the course sequence.
  8. Run Course integrity check and resolve meaningful findings.
  9. Test the learner, trainer, Scheduler, Flight Record, signature, document, and qualification flows that apply.
  10. Obtain the required internal approval.
  11. Publish the course.

15. What users see later

Course design choices appear across AirSupervision:

  • learners and trainers see published, available phases and lessons;
  • prerequisites and requirements can block lesson completion;
  • duration objectives appear in progress and analytics views;
  • required resources, instructors, signatures, scores, items, and files appear during registration;
  • Scheduler and Flight Record can use the forced activity type, color, recency, and operational rules;
  • notifications are sent to configured recipients;
  • passed lessons can renew competencies and release documents;
  • Multiple Entries shows courses that allow that workflow;
  • course Certificates become available only when their rules are satisfied.

16. Task, Help, history, and statistics

Use Task for tasks associated with Course Design Center. Use the on-page Help tab for the concise concepts available inside the application. Authorized history areas show recorded modifications, and Statistics helps measure use before a structural decision.


17. Troubleshooting

Situation What to check
Save or Update is missing The course or lesson may be inactive, locked by enrolment, not modifiable, or restricted to named designers.
A course cannot be attached Confirm it is published and the attaching user meets the minimum level.
A phase or lesson is missing for users Confirm the course is published, phase is available, lesson is active, and the user has access.
A lesson cannot be deleted It may already be used or required by another lesson; deactivate it or remove the dependency only after review.
A learner cannot complete a lesson Review prerequisites, qualifications, roles, memorandums, repeat limits, recency, duration experience, and required fields/files.
Multiple Entries does not show the course Enable Allow multiple entries and confirm the course is active and published.
A document is unavailable Confirm the correct template is selected and, for lesson documents, that the lesson is passed.
A certificate is unavailable Confirm Active, minimum level, prerequisite lessons, and duration requirement.
A CBTA marker is missing Confirm the lesson is linked to a competency in the intended framework.
Integrity check reports a warning Open the named course element, review the rule, correct it if appropriate, and rerun the check.

18. Final design checklist

Before publishing or republishing, confirm:

  • Course details are clear and current.
  • Publication, ownership, access, and correction permissions are correct.
  • Ranking and AI options follow organizational policy.
  • Private and public files are in the correct area.
  • Phases are ordered and available as intended.
  • Lessons are ordered, active, and named clearly.
  • Activity, resources, signatures, scores, durations, and files match real operations.
  • Pass, repeat, recency, attendance, and Flight Record rules are intentional.
  • Notifications and competency renewals have the correct recipients and outcomes.
  • Prerequisite chains are achievable and not circular.
  • Qualification, role, memorandum, and duration requirements were tested.
  • Exercise Items, OBs, CBTA links, Dynamic Documents, and Certificates were reviewed.
  • Course integrity check findings were resolved or formally accepted.
  • End-to-end testing and required approval are complete.

Safe-use rule: If you are unsure how a setting affects active learners or operational records, leave the course unpublished and ask the responsible course administrator to review it before use.
