A recurring task is shown as a working series rather than as an unlimited list of future rows.
The list can show:
- the oldest occurrence that is still pending
- missed occurrences up to today
- the next upcoming occurrence
The Start column shows a calendar icon. Point to it to read the recurrence description and learn whether the row is a missed, current, or upcoming occurrence.
For a daily recurrence, old missed days are grouped to keep the list manageable. A red ×N beside the calendar shows how many missed occurrences are represented by that row. Today’s occurrence and the next occurrence can still appear separately.
For weekly, monthly, or yearly patterns, missed dates can appear as separate rows. A past open occurrence is shaded light red.
Updating one displayed occurrence
Some extra missed or upcoming rows are calculated from the recurring task and have not yet become separate records. Point to the calendar icon: its message identifies a calculated missed or next occurrence.
When you change the Status, Priority, assignment, or Closed state of one of these calculated occurrences, the system preserves that occurrence as its own task record and applies the change to it. It can then be reopened, edited, or reviewed in History independently. The main recurring schedule remains in place.
If you double-click a calculated occurrence before making one of those quick changes, the edit window opens the main recurring task. Changing the recurrence there affects the series.
Closing a recurring task
Closing the main pending row of an active recurring task normally advances the series to its next occurrence. The task becomes Not Started again, and its Due date moves by the same interval. The calendar message on additional calculated rows identifies them as missed or next occurrences; closing one of those rows records that occurrence separately instead of replacing the main schedule.
For a daily task with grouped missed occurrences, closing the grouped row closes all of the missed occurrences represented by that row and advances the series.
When the End by date or End after count has been reached, closing the last occurrence closes the task normally.
Stop a recurrence permanently
Do not simply close the current row if you intend to stop an ongoing series; that usually advances it to the next occurrence.
Instead:
- Open the recurring task.
- Click the small X beside the recurrence description, or open the recurrence window and choose Remove recurrence.
- Click Modify to save the removal.
- Right-click the task’s Closed cell and choose Closed.
Occurrences that were previously preserved as their own records remain available in the list and History.
