A task is a shared follow-up item for an operational area. It can contain a short subject, a detailed description, dates, a progress status, a priority, a recurrence rule, and one or more people in charge.
Tasks are organized by work area. For example, a maintenance task belongs to the maintenance area, while a member follow-up task belongs to the members area. Users who have access to an area can see its task list. Assigning a person identifies responsibility; it does not make the task private.
Use a task when work must remain visible until somebody confirms that it is finished. Good examples include:
- following up on a document that is still missing
- reviewing a quality or safety item
- preparing a recurring weekly check
- asking a staff member to contact someone
- tracking an administrative action with a due date
