The advanced search

Published 2 February 2023, Updated 11 February 2023

An powerful “advanced search feature” is available for users with the need of refining their search by using multiple criterias. This function is available through the main menu.

The main view of the advanced search panel is divided in 3 sections as follow:

Section 1 – The criteria

The user can add multiple items using the button after selecting the operator (AND, OR), the right criteria and entering the searching term.
AirSupervision will append the row to the existing list of request. Deletion can be achieved by hitting the button to remove a row or the button to reset everything.
At anytime the user can reload the search with the button.

Criteria are ordered as follow:

  • A list of AirSupervision’s predefined options
  • The list of profile additional details
  • All type of user’s level of power (displayed to users with rights or credentials)
  • All type of credentials (displayed to users with rights or credentials)
  • All competencies grouped by type. (displayed to users with rights or credentials)

The list of all criteria might be long enough to be confused. User can search in the drop down selections.

Status can be as follow:

  • Valid : Any type of dated competency still valid (not expired or without any expiry date set)
  • Not valid : Any type of dated and expired competency
  • Registered : Any type of information registered in the system database
  • Not registered : Any type of information that does not appear in the system database. (can be used to search for members that never had a specific competency assigned)

The user can reload or save requests to be used or completed later.

Other useful general search options are displayed above the result pane such as:

  • Set one or multiple groups or roles
  • Set one or multiple inactive roles
  • Ordering the results by name, created date of member’s profile, or last member connection to the system
  • Limit result to an alphabetical letter

Even though advanced searching is a powerful feature, the user should keep in mind that extracting data might be long so that waiting time will depend on number and set of type of criterias.

Request samples

The above sample search for all members that:

  • have all memorandums acknowledged
  • AND date of birth is greater or equal to the 5th of September 2001
  • OR the competency “Instructor IV” is not valid

Section 2 – The results

After searching the database, results will be displayed below the criteria panel. For each row user can:

  • Select the member using checkbox
  • Send a message using the internal messaging system if member can receive messages.
  • Send an email using an external email program if the member has an active email
  • Add the member profile to the favorite list

Section 3 – The actions

The last section displays a set of buttons detailed as follow:

Printing or exporting

Printing as a PDF file, will let the user select fields, page format and orientation, while exporting as an excel type file, the user can select fields and other CSV options.

A Comma Separated Values (CSV) file is a plain text file that stores data by delimiting data entries with commas. CSV files are often used when data needs to be compatible with many different programs. CSVs can be opened in text editors, spreadsheet programs like Excel, or other specialized applications.

The additional tools box

User has to be careful while changing members attributes by batch. Firstly, it is important to verify the members selection. Any errors can be undo by checking each member’s profile.

Depending on user’s level of power and credentials set by administrators, additional options could be available “ for all selected member”, as follow:

  • Set inactive: Set all selected members profile as inactive. Member will not be able to login in the system.
  • Set the citizenship: Select a country and set citizenship for all selected members.
  • Join the group: Join all the selected members to the selected group.
  • Add roles: Assign a role to all selected members.
  • Remove roles: Remove a role to all selected members.
  • Add or modify the competency:

Add, or modify a competency if it is already assigned to member. A mandatory expiry date can be entered if necessary by user. However, if the mandatory date is required for a specific competency, but none has been specified, the system will generate an error and the selected competency will not be registered. In the case if the competency has already been registered for a member, the system will set the new expiry date.

  • Empowered: If the user is an administrator, set the level of power for all selected member.
  • Enroll:

Enroll all selected member to a course if only the course has not been already registered. User can specify a starting date. This latter can be pre or postponed. Starting date can be used as a variable in starting or ending certificates options in the course design mode.

  • Close: Close all registered courses for the selected members. Choosing a reason is important as it is part of the system statistics strategy. Setting wrong information might give managers inappropriate tools to take decisions. However, as student might not ends their training on the same date, closing a course should be done in member’s profile or directly in the course details view.
