Recurrence is useful for work that repeats on a predictable schedule, such as weekly file reviews, monthly checks, or annual renewals.
Open the recurrence settings
- Open a new or existing task.
- Enter a Start date first.
- Click the calendar icon beside Recurrence.
- Select a recurrence pattern and its range.
- Click OK.
- Review the plain-language recurrence shown beside the calendar icon.
- Click Add or Modify in the task window to save the task itself.
The recurrence calendar is dimmed until a Start date is entered. If you remove the Start date, the recurrence is also removed.
Recurrence pattern reference
| Pattern | Available choices | Example use |
|---|---|---|
| Daily | Every chosen number of days, or every weekday from Monday to Friday | Daily operational review or weekday opening check |
| Weekly | Every chosen number of weeks on one or more selected weekdays | Every two weeks on Monday and Wednesday |
| Monthly | A numbered day, or the first, second, third, fourth, or last selected day type | The 15th of each month or the last weekday of each month |
| Yearly | A month and day, or an ordered day type in a selected month | Every March 31 or the first Monday of September |
For monthly and yearly ordered patterns, the selected day type can be a specific weekday, any day, a weekday, or a weekend day.
Range of recurrence
Every recurring task has a Start and one of these endings:
- End by: stop on a selected date.
- End after: stop after a selected number of occurrences.
- No end date: continue until a user removes the recurrence.
Validation rules
The recurrence window blocks invalid settings. Check the following if an error appears:
- interval numbers must be whole numbers from 1 to 99
- a weekly pattern needs at least one selected weekday
- a numbered day of the month must be from 1 to 31
- End after must contain from 1 to 999 occurrences
- Start must be a valid date
- End by cannot be earlier than Start
- the chosen range must contain at least one occurrence
After you click OK, the Start date can move forward to the first date that matches the pattern. For example, a weekly Wednesday task starting on a Friday moves to the following Wednesday.
If a Due date is present, the system keeps the same amount of time between Start and Due for each occurrence. For a monthly task on day 29, 30, or 31, a shorter month uses its last day.
