The standard columns identify the date, status, staff member, contact information, summary, comment, and where the duration came from. Activity-type columns show the recorded value for that type. Point to an activity heading to read its description and category.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Current<\/strong> groups entries by staff member and shows totals in the group heading.<\/li>\n\n\n\n<li><strong>Accepted<\/strong> groups entries first by accepted period and then by staff member. Groups are normally collapsed when the tab opens; use the plus sign or the expand\/collapse button to reveal them.<\/li>\n\n\n\n<li>The checkbox at the start of a row selects that activity. Group checkboxes help select the displayed rows in one group. The toolbar\u2019s Select All button affects the rows currently displayed in the grid.<\/li>\n\n\n\n<li>The status icon distinguishes entries waiting for validation, waiting at the employee\u2019s request, waiting at accounting\u2019s request, and accepted entries.<\/li>\n\n\n\n<li>The duration-source filter can distinguish values coming from a flight record, a course, a manual entry, or an unknown source.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Important: the row limit controls what you can see and print<\/h3>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p><strong>Do not assume that the visible page contains every entry.<\/strong> The row selector at the bottom can limit the list to 20, 30, 50, 100, 200, 500, 1,000, 2,000, or 3,000 rows. The Current tab also offers All and normally opens with All; the Accepted tab normally opens with 1,000. If more matching entries exist than the chosen limit, additional entries are on another page and can be missed during review or printing.<\/p>\n<\/blockquote>\n\n\n\n<p>Before payroll or accounting work, compare the displayed range and total record count in the pager. Choose <strong>All<\/strong> when practical, or move through every page. A print made with \u201cOnly listed items\u201d follows the current page and row limit. Fictional sample entries grouped by period and member.<\/figcaption><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">Entry status and where the hours come from<\/h2>\n\n\n\n<p>Every line in Current and Accepted tells you two things that you should always read together: its <strong>status<\/strong> (where it is in the review) and its <strong>source<\/strong> (who or what produced the hours). The status filter \u201cIn the waiting list\u201d shows both kinds of waiting entries. Waiting entries are highlighted in the list.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Where the hours come from<\/h3>\n\n\n\n<p>The <strong>Duration referrer<\/strong> column (<img loading=\"lazy\" decoding=\"async\" class=\"wp-r_inline_img\" src=\"https:\/\/www.airsupervision.com\/wp-r\/wp-content\/uploads\/2026\/10\/activities-center-icon-ic-rowcal16.png\" alt=\"Calendar icon\" title=\"Calendar icon\" width=\"16\" height=\"16\" style=\"vertical-align:middle;\"> calendar icon in the header) shows the source of each entry. These entries have no automatic check, so read the comment and the \u201cCreated by\u201d column carefully.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p><strong>Filter tip:<\/strong> in the Duration referrer filter, \u201cFrom Flight record\u201d and \u201cFrom Courses\u201d keep only those sources. \u201cUnknown referrer\u201d keeps entries linked to neither a flight record nor a course (manual entries and punches), and \u201cDuration is user input\u201d keeps everything that is not linked to a flight record. Enabling \u201cOnly return rows matching selected activities\u201d removes nonmatching rows from the list and from reports. A small \u201cActivities filtered\u201d indicator appears beside the columns button while this filter is active.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Working with an activity<\/h2>\n\n\n\n<p>Right-click an activity row to open its action menu. The available choices depend on your permission and on the information stored for that staff member.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Member information:<\/strong> open the full profile, print a profile summary, or open flight records when that feature is available.<\/li>\n\n\n\n<li><strong>Communication:<\/strong> send an email through AirSupervision, open your usual email program, send an internal message, send an SMS, or call a listed number.<\/li>\n\n\n\n<li><strong>Notes and competency:<\/strong> add a quick or full profile note, or add an available competency.<\/li>\n\n\n\n<li><strong>Activity actions:<\/strong> edit, accept, place in the waiting list, return to validation, or open the activity history.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Edit an activity<\/h3>\n\n\n\n<p>The Edit activity choice is available from the Current list. It allows an authorized manager to correct the date and time, activity type, and duration. The staff member, \u201cWith\u201d information, status, and original comments are shown for reference but are not changed in this window. Choose <strong>Save<\/strong> to apply the correction; totals in the staff group are recalculated.<\/p>\n\n\n\n<p>Use corrections carefully. The <strong>History<\/strong> choice shows the activity\u2019s recorded changes and is useful when payroll needs to understand why a value changed.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Statuses and accepted periods<\/h2>\n\n\n\n<figure class=\"wp-block-table\"><table><thead><tr><th>Action<\/th><th>Meaning<\/th><th>What happens next<\/th><\/tr><\/thead><tbody><tr><td>Set to validate<\/td><td>The entry is ready for a manager\u2019s decision.<\/td><td>It remains in Current.<\/td><\/tr><tr><td>Set in the waiting list for review<\/td><td>The entry needs clarification or correction.<\/td><td>It remains in Current and is marked as waiting. The entry moves from Current to Accepted and is grouped under that period.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p>For a bulk action, check the required rows first and use the Selected items menu. The system asks for confirmation when many visible rows are affected and warns when more records exist than are currently displayed. Stop and refine the date range or increase the row limit if the selection is broader than intended.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Manage periods<\/h3>\n\n\n\n<p>The calendar button opens the Periods manager. A period is the payroll\/accounting label assigned when activities are accepted\u2014for example, a weekly, biweekly, or monthly processing period chosen by your organization.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Add:<\/strong> create a clearly named period before accepting entries.<\/li>\n\n\n\n<li><strong>Modify:<\/strong> rename the selected period.<\/li>\n\n\n\n<li><strong>Safe delete:<\/strong> an unused period can be removed. If activities are already attached, the period is kept and made inactive so historical records remain understandable.<\/li>\n\n\n\n<li><strong>Set as active:<\/strong> reactivate a selected inactive period.<\/li>\n\n\n\n<li><strong>Display selected period:<\/strong> opens Accepted and filters it to the chosen period.
