How a member&#8217;s access is built<\/h2>\n\n\n\n<p>A member&#8217;s access to AirSupervision is the result of three layers. Understanding them avoids most mistakes.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><thead><tr><th>Layer<\/th><th>What it is<\/th><th>Who sets it<\/th><\/tr><\/thead><tbody><tr><td><strong>Level of power<\/strong> (&#8220;Powered as&#8221;)<\/td><td>The member&#8217;s main level in the system (for example Student, Instructor, Dispatch, Supervisor, Administrator). Each level comes with a set of <strong>default credentials<\/strong>.<\/td><td>Administrators only<\/td><\/tr><tr><td><strong>Default credentials<\/strong><\/td><td>The credentials automatically given to <em>every<\/em> member with that level of power. They appear switched ON in green and cannot be removed from one member alone.<\/td><td>Administrators, in the <strong>Group of credentials<\/strong> tab<\/td><\/tr><tr><td><strong>Additional credentials<\/strong><\/td><td>Extra credentials given to one member only, on top of the defaults of the level.<\/td><td>Credential managers and administrators<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p><strong>Level of power is not the same as an operational role.<\/strong> Roles (for example &#8220;Chief flight instructor&#8221; or &#8220;QA manager&#8221;) describe the member&#8217;s position in the organization chart. The level of power decides what the member is allowed to do in the portal. The <strong>Administrator<\/strong> level overrides all others.<\/p>\n\n\n\n<p><strong>Example:<\/strong> an instructor is &#8220;Powered as Instructor&#8221;. The Instructor level gives, by default, <em>Can be a course instructor for a lesson<\/em> and <em>Can register a noshow<\/em>. If this instructor must also manage the course list, a credential manager switches ON <em>Can manage course list<\/em> for this member only. Other instructors are not affected.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Credential groups<\/h3>\n\n\n\n<p>Credentials are organized in groups. Hover the small <strong>(i)<\/strong> icon next to any credential to read its full description.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><thead><tr><th>Group<\/th><th>Typical use<\/th><\/tr><\/thead><tbody><tr><td>Accounting<\/td><td>Activity sheets, validation of activities, invoicing, refunds<\/td><\/tr><tr><td>Communication<\/td><td>Message center<\/td><\/tr><tr><td>Courses<\/td><td>Instructors, course responsibles, lesson changes, course design, CBTA, Dynamic docs, multiple entries, attendance, MEES report<\/td><\/tr><tr><td>Documentation Manager<\/td><td>Viewing, editing, reviewing and approving documentation<\/td><\/tr><tr><td>Event report<\/td><td>Event reports, Safety Management System, corrections<\/td><\/tr><tr><td>Examinations system<\/td><td>Exam attendee, builder, reviewer, proctor, exam administrator<\/td><\/tr><tr><td>Knowledge base<\/td><td>Writing, publishing and managing knowledge base articles and media<\/td><\/tr><tr><td>Maintenance<\/td><td>Viewing, snagging, de-snagging and adding resources<\/td><\/tr><tr><td>Members<\/td><td>Managing profiles and files, sensitive information, passwords and logs, roles, groups, member list, email changes<\/td><\/tr><tr><td>Misc<\/td><td>Pictures, ID cards, news, memorandums, E-trainings and E-courses<\/td><\/tr><tr><td>Quality Assurance<\/td><td>QA functions, QA administration, audit and statistical tools<\/td><\/tr><tr><td>Schedule and Flights<\/td><td>Daily flight record, scheduler, resources, classrooms, activity-type restrictions<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p>Some groups only appear when the related module is activated for your organization.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">2. Setting credentials from the member&#8217;s profile<\/h2>\n\n\n\n<p>The quickest way to adjust one member is from the member&#8217;s own profile page. Open the profile (click the member&#8217;s name anywhere in the portal), then open the administration tab reserved to credential managers. The member is <strong>not<\/strong> blocked; they create a new password at the next login.<\/td><td>The member cannot log in, or forgot which email or password they used.<\/td><\/tr><tr><td><strong>Login<\/strong><\/td><td>Optional custom login (up to 10 letters and numbers, not case-sensitive). Click <strong>Suggest<\/strong> to propose one.<\/td><td>The member prefers a short login instead of their email address.<\/td><\/tr><tr><td><strong>Password<\/strong><\/td><td>Sets a temporary password. Click <strong>Generate<\/strong> to create one that respects your organization&#8217;s password rules. Keep <strong>Send by email this password as a temporary password<\/strong> checked to email it.<\/td><td>You must give access immediately (for example during an onboarding session). The member must change it at the next login.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p>The Connection section is available to administrators and to members holding <em>Can change password and see logs<\/em> with a level equal to or higher than the member&#8217;s level.<\/p>\n\n\n\n<p>If a member was blocked after too many failed login attempts, administrators see a <strong>Blocked account<\/strong> section with an <strong>Unlock this account!<\/strong> button. Credential managers see the level but cannot change it.<\/li><li>The box below lists every credential, by group:<ul><li><strong>Greyed and checked<\/strong>: default credential of the level of power. It cannot be removed here.<\/li><li><strong>Check box you can tick<\/strong>: additional credential. The user must also be allowed to manage member profiles.<\/td><td>Set &#8220;Supervisor&#8221; on the chief pilot&#8217;s profile so instructors cannot edit it.<\/td><\/tr><tr><td><strong>Overpassed the privileges to see and upload files to this member&#8217;s personal documents<\/strong><\/td><td>Minimum level required to see or upload this member&#8217;s files and folders.<\/td><td>Protect a manager&#8217;s personal documents.<\/td><\/tr><tr><td><strong>Can see locked files, members personal notes and competencies as a member with following credentials<\/strong><\/td><td>Gives this member the right to see locked files and personal notes as if they had the selected level. Consider privacy laws.<\/td><td>A training coordinator who must read locked training notes.<\/td><\/tr><tr><td><strong>Lock notes posted by members with following level and upper<\/strong><\/td><td>This member will not see notes locked at the selected level and above (except their own).<\/td><td>Prevent a student coordinator from reading management notes.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p>&#8220;Not defined&#8221; means no special rule is applied. Click <strong>Update<\/strong> to save everything.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">3. The Users credentials page<\/h2>\n\n\n\n<p>The <strong>Users credentials<\/strong> page manages credentials for the whole organization. Each column on the right is a level of power. A <strong>green check mark<\/strong> means the credential is given by default to everyone with that level. Hovering a credential highlights its whole row.<\/p>\n\n\n\n<p><strong>Change a default (administrators only)<\/strong><\/p>\n\n\n\n<ol><li>Click the empty cell or the check mark at the intersection of the credential and the level of power.<\/li><li>A <strong>Warning<\/strong> explains that the change applies to <strong>every member<\/strong> with that level of power.<\/li><li>Click <strong>Yes<\/strong> to confirm or <strong>Cancel<\/strong> to stop. Default powers cannot be disabled from this window; use the level-of-power cells or the general settings.<\/td><\/tr><tr><td><strong>Members<\/strong><\/td><td>Every member holding the credential, with last connection and level of power. Type a name in <strong>Add member<\/strong>, select it and click the add icon to give the credential to that member. Click the red <strong>X<\/strong> to remove an additional credential (confirmation: the member is automatically disconnected). Members who receive it from their level show &#8220;Inherited from a general level of power&#8221; and cannot be removed here. Recommended practices<\/h2>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Prefer levels of power for groups, additional credentials for exceptions.<\/strong> If many members need the same extra credential, ask an administrator to add it to the level instead.<\/li><li><strong>Use &#8220;Set credentials as another user&#8221; when replacing staff<\/strong>, then review the result.<\/li><li><strong>Review the Log in &#8220;never login&#8221; filter<\/strong> regularly to detect accounts that were created but never used.<\/li><li><strong>Check the History tab<\/strong> before asking &#8220;who gave this access?&#8221;<\/li><li><strong>Remember that removing a credential disconnects the member<\/strong>: plan changes outside busy operational periods.<\/li><li><strong>Take privacy into account<\/strong> before granting sensitive information, locked files or personal notes access.<\/li><\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">5.
